If participants are not receiving AQai assessment invitation emails, the issue is most often related to email security filtering on the recipient’s side, especially within regulated or enterprise environments such as financial services and government organizations.
This article explains how AQai sends email, what to check, and how recipient IT teams can quickly resolve delivery issues.
How AQai Sends Email
AQai sends assessment invitations from:
From address:
aida@aqai.ioSending domain:
aqai.ioEnvelope / Return-Path domain:
aida.aqai.ioEmail service provider (ESP): Amazon Simple Email Service (SES)
Region: EU (eu-west-1)
AQai emails are fully authenticated and configured with modern email security standards:
SPF: Pass
DKIM: Pass
DMARC: Pass (policy set to
p=REJECT)
This means AQai emails are cryptographically verified and protected against spoofing.
Why Emails May Stop Arriving After Initial Delivery
It is common for the first one or two emails to be delivered successfully, followed by later messages being delayed, quarantined, or silently dropped. This typically occurs due to:
Adaptive spam or bulk-mail filtering
Rate limiting or volume heuristics
URL reputation checks
Security gateway policy enforcement
In these cases, emails are often accepted by the recipient mail server but intercepted later by a security gateway or firewall.
Sending IP Information (for IT Teams)
AQai uses Amazon SES shared IP infrastructure, which means sending IPs may rotate.
Examples of observed sending IPs include:
54.240.7.2254.240.7.3554.240.7.37
Because IPs rotate, whitelisting a single IP address is not sufficient.
Recommended Whitelisting Options
Recipient IT or security teams should implement one or more of the following (listed in order of effectiveness):
1. Allow by Authentication (Preferred)
Permit messages that pass DMARC for the domain:
aqai.io
This approach is robust and avoids reliance on rotating IP addresses.
2. Allow by Sender Identity
Whitelist:
From address:
aida@aqai.ioEnvelope / Return-Path domain:
aida.aqai.ioDomain:
aqai.io
3. Allow by IP (If Required)
If IP-based allowlisting is mandatory, include:
54.240.7.2254.240.7.3554.240.7.37
Note: Additional IPs may be used over time due to SES shared infrastructure.
What AQai Can Confirm
If delivery issues occur, AQai can confirm:
Emails were sent successfully
No bounces or rejections were received
SPF, DKIM, and DMARC authentication passed
Recipient servers accepted the messages
This usually indicates filtering after acceptance within the recipient’s email security environment.
Recommended Troubleshooting Steps
If invitations are missing:
-
Ask your IT team to search email gateway logs (e.g., Proofpoint, Mimecast, Microsoft Defender) for:
aqai.ioaida@aqai.ioAmazon SES sending IPs
Check quarantine or held-message folders
Apply one of the whitelisting methods above
Resend the invitation
